Greenwood Fire Department Social Hall Rental Fees

MAXIMUM HALL CAPACITY: 150 Persons

 
HALL RENTAL FEE: $ 300.00 for 4 hours (minimum fee) and $50 each additional hour. Renters must be at least 21 years of age.

Kitchen Rental Fee: $100.00

SECURITY / DEPOSIT: $200.00

Deposit FEE (with alcohol): $200.00 and renter must have a certified security guard on duty throughout the event.

AVAILABILITY: The Social Hall is not available for rental on Friday nights. Other times are at the discretion of the Social Hall Rental Committee.

Hall Rental Fee Payment: Deposit of $50 plus security deposit must be paid on day of signing. Remaining balance must be paid on the day of rental.

Security / Deposit Fee: Payment due at time of agreement signing. All deposits are NON-REFUNDABLE in the event of cancellation by renter after agreement signing. Security deposit will be returned to renter within 14 days, if inspection of the premises by the Social Hall Rental Committee reveals that no damage has occurred and that all other conditions of the rental agreement have been observed.

Rental Agreement

    This rental agreement, made the _______ day of ______________, 20____, by and between the Greenwood Volunteer Fire Department and __________________________________________________ (hereafter identified as Renter.)

    It is hereby agreed that Greenwood Volunteer Fire Department (hereafter identified as GVFD) grants permission to Renter to use the Greenwood Fire Department Social Hall (hereafter identified as “the hall” or “the facility”) for the purpose of                                                                           __________________________ (hereafter identified as “the event”).

    GVFD has the right to enter the facility during the term of this agreement for the purpose of inspection or investigation. It is agreed that the price for the use of the GVFD social hall will be $___________________ plus a security deposit of $_______________ . The security deposit will be retained by the Greenwood Fire Department until an inspection of the premises determines that the building is free of damage or debris. A deposit of $______________ will be paid by the Renter when the agreement is signed. The deposit is completely non-refundable if the Renter cancels the rental event.  The balance of $____________ must be paid on day of the event. Failure to make the payment voids this agreement and removes the right of the Renter to use the facility.

    Renter agrees that all activities must end by 11 p.m. The premises will be vacated by all occupants by 11:59 p.m. All items brought into the hall by Renter must be removed by 11:59 p.m.

   The Greenwood Fire Department Social Hall will not be rented to any organization whose intention is to make a profit on the event. The social hall may be rented to non-profit organization under recommendation of GVFD.

    Greenwood Fire Department is not responsible for lost or stolen articles under any circumstances.

    It is understood that Renter will be responsible for any and all damages. If damages occur, Renter will compensate GVFD in cash or by certified check within 10 days of the receipt of a written damage report. Renter will be charged for the cost to repair any and all damages over and above the amount of the security deposit.

    Decorating will be permitted on the evening prior to the event, providing there is no other activity scheduled. Permitting decorating is at the discretion of the GVFD Social Hall Rental Committee. Renter is not permitted to use nails, screws, or other materials which may deface the walls, ceiling or woodwork.  Masking tape only may be used as an adhesive for affixing decorations (except on ceiling tiles).

    Renter is responsible for the conduct of all persons entering the building during the term of this agreement.

    No furnishings of any type nor any items owned by GVFD may be removed from the building at any time, for any reason. This includes, but is not limited to, chairs, folding chairs, tables, brooms, fire extinguishers and kitchen items.

    Illegal gambling as defined by the Commonwealth of Pennsylvania is prohibited in the building or on the grounds. No exceptions.

    Renter agrees that this agreement is being made for the purposes of Renter ONLY!  This agreement cannot be sold, traded, transferred or assigned to anyone other than the Renter signing this agreement.

    Renter agrees that should he employ an outside catering service, the caterer or Renter will be permitted to use only the kitchen’s sinks and one refrigerator. All arrangements for catering must be explained to the GVFD Social Hall Rental Committee representative prior to the event. Renter is responsible for all activities and actions of a caterer while the caterer is on GVFD property, including damage to any kitchen facilities or removal of any kitchen items or utensils owned by GVFD.

    Renter agrees that should alcoholic beverages be served at the event, Renter assumes complete and total responsibility and liability for any and all occurrences and accidents. Renter further agrees to hold harmless the Greenwood Volunteer Fire Department and Relief Association for any and all occurrences and accidents.  Under no circumstances will Renter hold GVFD or the Relief Association responsible for any events, actions, damages or incidents related to the use of alcohol on GVFD property during the event. Renter agrees to observe all of the laws of the Commonwealth of Pennsylvania regarding the offering, pouring, serving, consumption and use of alcohol, specifically including the prohibition on alcohol consumption by those under 21 years of age and the serving of alcohol to intoxicated persons.

    NO ALCOHOL will be permitted outside the social hall under any circumstances. If any attendee of the event removes alcohol from the building during the event, GVFD has the right to immediately end the event and require Renter, staff, guests and attendees to leave the hall and GVFD property. This clause is not intended to prevent the Renter from removing unconsumed alcohol at the conclusion of the event.

    If GVFD has to clean, tidy or re-arrange the hall because insufficient cleaning was done by Renter, and the cost of cleaning exceeds the amount of Renter’s security deposit, then Renter will be charged $15.00 per hour, per person, for any cleaning conducted by GVFD. The amount charged must be paid by cash or certified check within 10 days of being presented a bill for the cleaning conducted by GVFD.

    If the social hall is rented by a Greenwood Volunteer Fire Department member, that member MUST be present throughout the entire event. There may be no exceptions to this clause.

    Renter agrees that all doors to the social hall must be kept completely closed when the climate control system (heating or air conditioning) is operating, except for entrance and exit of people. If the doors are not kept closed to the satisfaction of the GVFD Social Hall Rental Committee, then Renters will forfeit the entire security deposit in compensation for increased heating or cooling expenses.

    Renters and Guests are very specifically not permitted to enter the GVFD truck room or the other areas of the building except the social hall and restrooms. The kitchen may be entered only with the approval of the GVFD Social Hall Rental Committee. Entrance into any other room of the building will be considered willful trespass by GVFD.

    Renter has until 11:59 p.m. the day of rental event to clean the social hall, bathrooms, and kitchen (if used). This includes wiping down all tables used, wiping all kitchen counters used, cleaning all ovens used, and cleaning all toilets, cleaning all urinals, all sinks, sweeping all floors, mopping all floors and putting all garbage generated by the event completely inside the GVFD dumpster. Any failure to clean the hall, bathrooms and facilities and items used to the satisfaction of the GVFD Social Hall Rental Committee will result in loss of the Renter’s security deposit.

    GREENWOOD VOLUNTEER FIRE DEPARTMENT is under no circumstances liable for any accidents. Renter assumes all liability and responsibility for any and all damages caused by any guest or attendee, invited or not.

    Renter understands that Commonwealth of Pennsylvania Department of Labor and Industry regulations require that no more than 150 people may be in the social hall at any time. Renter agrees to comply with this regulation and ensure that no more than 150 people are inside the hall at any time.     

    Renter understands that all tables, chairs, other furniture, utensils and appliances must be returned to the condition they were in prior to Renter entering the social hall. Renter is responsible for any and all damages.

    Renter’s failure to comply with any of the provisions of this agreement allows GVFD to retain any portion of or all of Renter’s security deposit. Should a violation of this agreement occur, Renter may lose any or all privileges in this agreement, including use of the hall, at the discretion of GVFD. GVFD or its appointed officer may at any time declare Renter in violation of this agreement and demand the penalties contained within this agreement.

    With his/her signature below, Renter states that he/she has read this entire agreement, understands all terms of this agreement and agrees to all of the terms of this agreement.
